The dashboard at a glance

Who uses the dashboard, how it is laid out and what the overview page shows.

The dashboard is where you set up LOKI for your organisation: you upload documents, create users and groups, decide who may use which documents and tools, connect sources such as SharePoint and install updates.

You open the dashboard in your browser at the address your IT department gave you. From the chat, you reach it through the user menu and Administration. You sign in there with the same account as in the chat (see Signing in and password).

Who sees what in the dashboard

RoleWhat they see in the dashboard
AdministratorAll pages.
ManagerThe Overview and the Documents of the groups in which they are a manager.
UserNothing. Anyone who opens the dashboard is redirected to the chat.

What the roles mean is explained in Concepts. If a person's role changes, they should sign out and back in once so that the dashboard shows the new role.

Layout

On the left is the Loki Management navigation. Managers see only Overview and Documents in it.

Use the icon at the top left to collapse and expand the navigation.

At the top right you will find:

  • Notifications (administrators only): the bell shows the number of new feedback items. The dashboard also announces new feedback with a notice and a sound.
  • Give feedback: send comments about the dashboard to the administrators.
  • Change language: German or English.
  • The switch between the light and dark theme.

At the bottom of the navigation are your name and Log out. Managers also find Chatbot there, to switch to the chat.

The overview page

The Overview page shows at a glance how LOKI is doing.

Key figures

  • Documents: the number of searchable documents you manage. The grey number in brackets counts documents that are still being processed. Use Upload to add new ones.
  • Groups (administrators only): the number of groups, with Create for a new one.

Charts

  • User interactions: how many chats were started and how many requests were made per day.
  • Activity: how many documents were created, updated and deleted per day.

At the top right of each chart you choose the time range: the last 7 days, 30 days or 3 months.

Activities and user interactions

Below that, the page lists the latest activities: which document was uploaded, processed, updated or deleted, when and by whom. If the user shown is System, a sync triggered the action, not a person. Managers see only activities relating to their own documents.

The list of user interactions shows, per person and day, how many chats and requests there were. It does not show the content of chats. Managers see only people from their groups.

Entra sync warning

If Microsoft 365 is connected and the sync with Microsoft Entra ID has not worked for 24 hours, a warning appears at the top. As long as the sync is not running, accounts blocked in Microsoft and removed group memberships do not reach LOKI. Follow the link Go to the Microsoft integration (see Microsoft 365).
